Subject: This Week’s Safety Reminder: Evacuation Accountability and Student Counts
Staff,
This week’s SafeSchools Minute™ focuses on Evacuation Accountability and Student Counts.
Getting students safely out of the building is only the first part of an evacuation. Once your group reaches the designated assembly area, accountability should happen immediately.
Please compare your student count with your roster and report any missing, additional, or injured student through our established procedure.
Do not assume that a missing student is with another group or already accounted for. Any discrepancy should be communicated promptly so school leaders and emergency responders have accurate information.
This week, take a moment to make sure you know where your roster or accountability materials are located and how you are expected to report your group’s status.
Please take one minute to review the attached reminder.
Evacuation is not complete until every student is accounted for.
Thank you for helping us maintain an organized and accurate evacuation process.

Evacuation is not complete when everyone reaches the assembly area. The next critical step is accountability.
Staff should immediately account for every student in their group, compare the count with the roster, and report any missing, additional, or injured student through the school’s established procedure.
Do not assume a missing student is with another class, in another area, or already accounted for. Any discrepancy should be communicated right away.
Accurate student counts help school leaders and emergency responders determine whether anyone may still be inside the building or otherwise unaccounted for.
Getting outside is only part of the process. Accountability confirms everyone made it safely.
-
What should you do if your student count does not match your roster after an evacuation?
Suggested response:
Staff should:
• Recount the students in the group
• Check the roster carefully
• Identify who is missing or who should not be with the group
• Report the discrepancy immediately
• Keep the rest of the group together and supervised
• Avoid leaving the assembly area to search unless specifically directedClear and immediate reporting is essential.
-
Pay particular attention to:
• Staff who do not have immediate access to a roster or accountability tool
• Students joining the wrong class or group
• Staff delaying attendance once outside
• Groups moving from the assembly area before accountability is complete
• Missing, extra, or injured students not being reported immediately
• Uncertainty about how to communicate an all accounted for status
• Substitute or coverage staff who may not know the accountability procedureEvery group should be accounted for quickly and accurately.
-
Take a few minutes this week to review your evacuation accountability process.
Ask yourself:
• Where is my roster or accountability tool?
• How quickly could I access it during an evacuation?
• Where is my assigned assembly area?
• How do I report that everyone is accounted for?
• How do I report a missing or additional student?
• Would a substitute know what to do?Evacuation is not complete until every student is accounted for.
